How do I import materials into ShopStats.ai?

Learn how to bulk import your material data into ShopStats.ai using CSV files, streamlining your inventory management process for product components.

Importing materials into ShopStats.ai allows you to quickly add multiple material records at once. Follow these steps to import your material data:

1. Prepare Your CSV File

  • Create a CSV file with your material data.
  • Include columns for material details such as name, description, SKU, cost, quantity, etc.
  • Ensure your column headers match or are similar to ShopStats.ai's field names (e.g., "Material Name", "Description", "Cost"). 
  • You can refer to a sample material import CSV file for guidance on formatting.

2. Access the Import Page

  • Log in to your ShopStats.ai account.
  • Navigate to the main menu and click on "Import".

3. Select Import Type

  • On the import page, choose "Materials" as the data type you want to import.
  • Click "Next" to proceed.

4. Choose Import Method

  • Select "Import A CSV/Excel File" as your import method.
  • Click "Next" to continue.

5. Upload Your File

  • Click on the "Choose File" button.
  • Select your prepared CSV file from your computer.
  • The file name will appear once it's successfully uploaded.

6. Map Your Columns

  • ShopStats.ai will attempt to automatically map your CSV columns to the correct fields.
  • Review the mapping to ensure accuracy.
  • If any fields are incorrectly mapped or unmapped:
    • Use the dropdown menus to select the correct ShopStats.ai field for each of your CSV columns.
    • You can also choose to ignore certain columns if they're not needed.

7. Handle Special Fields

  • If you have any custom fields, ensure they are properly mapped.

8. Review and Confirm

  • Once all fields are mapped correctly, review your settings.
  • Click on "Accept Mapping".
  • Click on "Import" to start the import process.

9. Wait for Import to Complete

  • The system will process your file. This may take a few moments depending on the number of material records.
  • Do not close the page or navigate away during this process.

10. Check Import Results

  • Once the import is complete, you'll see a confirmation message.
  • Review any warnings or errors that may have occurred during the import.

11. Verify Your Material Data

  • Navigate to your materials listing page to verify that your materials have been imported correctly.
  • Make any necessary adjustments to individual material records as needed.

Tip: Before importing a large number of material records, try importing a small test file first to ensure your data is formatted correctly and imports as expected.

Note: ShopStats.ai also offers an option to import materials directly from receipts. If you have receipt images for your material purchases, you can use the "Import from Receipt" feature for a more streamlined process.
