How do I import sales into ShopStats.ai?

Learn how to bulk import your sales data into ShopStats.ai using CSV files, streamlining your sales tracking and analysis process.

Importing sales into ShopStats.ai allows you to quickly add multiple sales records at once. Follow these steps to import your sales data:

1. Prepare Your CSV File

Create a CSV file with your sales data.
Include columns for sales details such as order ID, date, customer information, product details, quantities, prices, etc.
Make sure that your column headers are aligned with the field names used in ShopStats.ai (for example, "Order ID", "Sale Date", "Customer Name"). If you need a reference, you can find a sample CSV for Sales Import by clicking here.

Note: For Etsy sellers, you can download your sales data directly from your Etsy shop. Refer to our "Exporting Files from Etsy" guide for detailed instructions.

2. Access the Import Page

Log in to your ShopStats.ai account.
Navigate to the main menu and click on "Import".

3. Select Import Type

On the import page, choose "Sales" as the data type you want to import.
Click "Next" to proceed.

4. Choose Import Method

Select "Import A CSV/Excel File" as your import method.
Click "Next" to continue.

5. Upload Your File(s)

If you're an Etsy seller, you'll see an option to select "Etsy" as your platform. This will optimize the import process for Etsy sales data.
For general CSV imports:
- Click on the "Choose File" button and select your prepared CSV file.
For Etsy imports:
- You'll need to upload both the "Orders" and "Order Items" CSV files from Etsy.
- Use the respective "Choose File" buttons to upload both files.

6. Map Your Columns

ShopStats.ai will attempt to automatically map your CSV columns to the correct fields.
Review the mapping to ensure accuracy.
If any fields are incorrectly mapped or unmapped:
- Use the dropdown menus to select the correct ShopStats.ai field for each of your CSV columns.
- You can also choose to ignore certain columns if they're not needed.

7. Handle Special Fields

If you wish to establish specific associations during your import, follow these steps:
- Check the "Associated Field" box next to the relevant field you want to associate.
- Choose the "Entity" with which you want to create this association (for example, if you select the SKU field, you may associate it with the Products entity).
- Specify the "Column" within the chosen entity that you want to map the associated field to (for instance, if you are associating the SKU field with the Sales entity, you might select the product_sku column).
By making these selections, you will link any sales to your product that share the same SKU value as your sale's SKU field.

Note: For Etsy imports, the system will automatically handle the association between orders and order items as well as all other necessary associations.

8. Review and Confirm

Once all fields are mapped correctly, review your settings.
Click on "Accept Mapping" .
Click "Import" at the bottom right to start the import.

9. Wait for Import to Complete

The system will process your file(s). This may take a few moments depending on the number of sales records.
Do not close the page or navigate away during this process.

10. Check Import Results

Once the import is complete, you'll see a confirmation message.
Review any warnings or errors that may have occurred during the import.

11. Verify Your Sales Data

Navigate to your sales listing page to verify that your sales have been imported correctly.
Make any necessary adjustments to individual sales records as needed.

Tip: Before importing a large number of sales records, try importing a small test file first to ensure your data is formatted correctly and imports as expected.
